What This System Is

This workspace is the central nervous system of your business. Before this system existed, your business was spread across Gmail, WhatsApp, Trello, spreadsheets, and a Notes app, none of which talked to each other. You were spending 20+ minutes finding answers to simple questions, losing wholesale buyers because of missed follow-ups, and making product decisions based on gut feeling instead of data.

This system fixes all of that. Everything your business needs to run products, suppliers, orders, wholesale buyers, team tasks, finances, and new product ideas now lives in one place. You open Notion in the morning, and you know exactly where everything stands.

The 8 Databases: What They Are and Why They Exist

1. Team

What it is: A record of every person working in your business — full-time staff, freelancers, and yourself.

Why it exists: Every task in the system is linked to a person in this database. Without it, tasks float with no owner, and nothing gets done. This is also the foundation for giving each team member their own personal task view.

2. Suppliers

What it is: A record of every supplier you work with in West Africa, the UK, and beyond.

Why it exists: Your suppliers are a critical business risk. If one is unreliable and you don't track it, you end up with stock shortages and delayed orders. This database gives you visibility on every supplier's lead time, reliability rating, and current purchase orders, all in one place.

3. Products

What it is: Your complete product catalogue, all 80+ products, each with its own row.

Why it exists: This is the most important database in the system. Every product has its cost price, sell price, wholesale price, and current stock level recorded here. Two formulas run automatically:

4. Wholesale CRM

What it is: A record of all 18 of your wholesale buyers, their contact details, order history, account status, and follow-up schedule.
